Volunteer Opportunities

The following is a summary of the volunteer positions and descriptions for the event. Volunteers are offered one shirt at 1/2 price as thanks for their participation. Contact anyone on the committee if you want to help!

1, 2 Registration/Ribbons (2 volunteers) Before the race starts, this volunteer stands behind the registration table, makes sure participants:
  1. Get the correct chest number (there are two versions - male runners and female runners)
  2. Fill out the form with the necessary information (name, age, m/f, mailstop),
  3. Pins on the chest number on correctly (do not pin the tear off portion).
  4. Walkers fill out a form (voluntary) and place it in a bin.
  5. After the race, volunteers hand out ribbons to the participants.
3 Registration/Position Card (1) This volunteer works at the registration desk before the event.

This volunteer is positioned immediate past the finish line, and as each participant crosses the line this volunteer hands a the finisher a card in the order that they cross the line. This is their place card.

It is very important that the cards are handed out in the order that runners cross the finish line.

The combination of the place card, pull-tag, and the timer tape make up the race results.

4 Results (Ruth McDunn) Accepts the numbers card with attached tear off portion of the chest number, sorts them into categories, and collates winners.
5, 6, 7 Number Puller/Stapler (3) This volunteer is positioned in the behind the finish line area.

Once a participant crosses the finish line and is handed a place card, the number puller tears the bottom of the chest number off the participant and staples the position card and chest number strip together.

Once stapled, give results to Number/Position Card Delivery person (see below).

NOTE: Only a female volunteer should tear off the bottom of the chest number on female runners.

8 Number/Position Card Delivery Take pull-tags and place cards from the number puller and deliver to the results desk.
9, 10 T-shirt Sales/Packet (2) This volunteer works behind the "T-Shirt Sales" tables. Before the race, this volunteer should sort the shirts by size and place them in an organized manner behind the table. Before and during the race, sales will take place. After the race, the volunteer should help package up remaining shirts for transportation.

Payment for shirts must be paid in cash or by check (made payable to Stanford University). 

Shirts can be pre-ordered on the web site or picked up at the event. 

  1. Preorder Packets.  For those who preordered, packets have been assembled with a copy of the order and shirts stuffed into an envelope. These are sorted alphabetically by last name. Pre-orders are cut off one day before the event. Make sure the customer checks the contents of the package before leaving the area!
  2. Event Sales. Shirts are available for sale at the event. Shirts from previous years' events may also be available for sale at 1/2 price. 
  3. Some participants will want to leave their purchases at the table during the event. Put the shirts in an envelope (if not a pre-ordered shirt) and mark the package as PAID and with their name. Set aside in the boxes indicated.
  4. Volunteer Sales. Keep a list of all shirts sold at 1/2 price to volunteers.
11 Cash Transactions/Water Distribution (1) This person is responsible for the cash box. If possible, arranges to pick up the cash box from the petty cash window (with adequate change) the morning of the race.

After the race, this volunteer points handles water distribution. One bottle of water is available for each participant and volunteer. This volunteer should be positioned near the water supply and monitor water distribution. Water is not provided for those who watch the event. 

12, 13 Timing/Scoring/Lane Marking Before the race, the volunteer assists Bob Traller in setting up and marking the chutes at the finish lines. During the race, this volunteer is positioned near the finish line and works with the person operating the timer to obtain the official race results.
14, 15 Course Guide/Water - Runners Before the race, the volunteer assists Dave Bostic and/or Jim Allan in moving water jugs, cups, table, garbage bag, chairs, and a government truck to the end of the linac (Sector 0), where the course turns around. During the race, the volunteer pours water into the cups, spaces the cups out on the table so they can be grabbed by the participants as they go by and directs the participant around the corner. After all participants have passed the station, the volunteer collects the all the garbage, loads everything into the truck, and drives down the north side of the gallery, following the final participant, and picking up the Course Guide/Water - Walker volunteers at their station.

This volunteer will also monitor the turnaround since the race will be completely entirely on the south access road.

16, 17 Course Guide/Water - Walkers Before the race, the volunteer assists Dave Bostic and Jim Allan in moving water jugs, cups, table, garbage bag, and chairs to the walker turn around point. During the race, the volunteer pours water into the cups, spaces the cups out on the table so they can be grabbed by the participants as they turn around. After all participants have passed the station, the volunteer collects the all the garbage and waits to be picked up by the Course Guide/Water - Runners volunteers.
18, 19 Course Guide - Walkers

These volunteers must have dosimeters.

These volunteers will be positioned on either side of the gallery at Sector 15 at the start of the race and escort walkers through the gallery (from south to north). Once all the participants have passed through the gallery, the volunteers will move down to Sector 28 and escort walkers through the gallery (from north to south).

The main goal of these volunteers is to avoid any collisions while passing through the gallery.

20 Photographer (1) Takes photos during event, using the new TechPubs digital camera. Returns images to Ruth McDunn for incorporation into the web site.
21 Course Guide Finish Chute This volunteer will stand on the south side of Sector 28 and instruct walkers to keep close to the building and out of the path of the runners. The road will be marked as well.
22 Videographer (1) Takes video of the event - just in case there are any results discrepancies.
23, 24 First Aid (2) Someone from the Medical Department and/or Fire Department are available to offer first aid, if needed.
  Volunteer Coordinator Vern Smith and Jim Allan, from the SLAC Race Committee, are the volunteer coordinators. 
  Floating Committee Members All of the committee members will be available before and after the event in case of questions.
